Surpha E-mail Account Setup and Configuration

Adding a new e-mail account to your e-mail client
Outlook 2002
1. From the Tools menu select E-mail Accounts.
2. Select “Add new e-mail account” then click Next.
3. Select “POP3” for the Server Type then click Next.
4. Enter the following information on the E-mail Accounts screen:

a. Your name: The name you want e-mail recipients to see in the From field (e.g., John Doe).

b. E-mail address: Your Surpha e-mail address (e.g., john.doe@surpha.com).

c. Incoming mail server (POP3): mail.surpha.com

d. Outgoing mail server (SMTP): mail.surpha.com

e. User Name: The first part of your e-mail address—everything up, but not including the @-symbol (e.g., john.doe).

f. Password: The password you were assigned by Surpha.

g. Remember password: Recommended

h. Log on using Secure Password Authentication (SPA): Not recommended
5. While still on the E-mail Accounts screen click the More Settings… button.
6. (Optional) On the General tab, enter your e-mail address as the account name.
7. On the Outgoing Server tab check “My outgoing server (SMTP) requires authentication,” then select the “Use same settings as my incoming mail server,” then click OK.
8. (Optional) Make sure your have an internet connection then click Test Account Settings on the E-mail Accounts: screen. If it does not succeed, review the settings on this page (steps 4 to 7). Click Close on the Test Account Settings dialog.
9. Click Next on the E-mail Accounts screen.
10. You should see your new e-mail account listed on the E-mail Accounts dialog.
11. Click Finish.

Other e-mail clients
Most e-mail clients follow a similar naming convention to those used by our mail server and Outlook. Please follow the instructions that came with your e-mail client software and use the same settings as described above in the Outlook section.

Configuring your e-mail account options
Using your internet browser:
1. Browse to http://mail.surpha.com
2. Enter the user name and password that were assigned to you by Surpha. Your user name is the first part of your e-mail address—everything up, but not including the @-symbol (e.g., john.doe).
3. Click the Login button.
4. From this page you can configure the following:

a. Password: We recommend that you change your password after setting up your account, then monthly after that.

b. Mail Forwarding: “Mailbox Path” (default) delivers all incoming e-mail to this e-mail box. “Remote Address” will deliver all incoming e-mail to the specified e-mail address. (You could use this option if your Surpha e-mail address is not your primary e-mail account.) “Forward To” will send a copy of all incoming e-mail to the specified e-mail account, independent of which of the first two options are chosen.

c. Old-mail handling: You can choose to have the e-mail server delete or forward old mail automatically.

d. Auto responder: You can choose to have the mail server automatically reply to incoming e-mail messages with a message of your choosing. (Not recommended for personal accounts.)
5. When finished, click Save.
